Before diving into individual features, it helps to understand how Fluency thinks about work. Fluency models your organization as a collection of workflows — discrete, repeatable sequences of actions taken by people and systems. This page explains the core vocabulary you’ll encounter throughout the platform.
You don’t need to understand every concept before starting. Most customers begin with Work Explorer and let the platform surface opportunities organically.

Workflows

A workflow is any repeatable sequence of steps — from processing an invoice to onboarding a new hire. Fluency automatically discovers workflows from activity signals across your organization, without requiring manual mapping or integration setup. Each workflow is represented as a structured map showing every step, decision point, and handoff.

Processes vs. Tasks

Fluency distinguishes between processes (end-to-end workflows spanning multiple steps or teams) and tasks (individual steps within a process). Work Explorer surfaces both, letting you zoom from a high-level process map down to execution-level task details.

Opportunities

An opportunity is a specific workflow or process that Fluency has identified as a strong candidate for improvement — whether through automation, AI augmentation, or process redesign. Every opportunity includes a projected impact score, estimated hours saved per month, and a financial savings estimate.

Initiatives

An initiative is a committed automation project. When you decide to act on an opportunity, you create an initiative. Initiatives include full context: the workflow map, expected agent behavior, systems involved, and projected outcomes at each step. Once deployed, an initiative runs as an autonomous agent.

Agents

A Fluency agent is an AI worker that executes the steps of an initiative within your existing tools and systems. Agents operate autonomously for the vast majority of cases and surface only genuine edge cases as tasks for human review.

Glossary

An end-to-end workflow that spans multiple steps or teams. Processes represent the full arc of a business activity — from trigger to completion — and are the primary unit of analysis in Work Explorer.
An individual step within a process. Tasks are the atomic units of work that Fluency tracks, measuring how long each one takes, how often it recurs, and where it falls within the broader process flow.
A workflow or process that Fluency has identified as a strong candidate for automation, AI augmentation, or redesign. Each opportunity includes a projected impact score, estimated hours saved per month, and a financial savings estimate.
A committed automation project created when you decide to act on an opportunity. An initiative captures the full context needed to deploy and run an agent — including the workflow map, expected behavior, systems involved, and projected outcomes.

The total elapsed time required to complete a single end-to-end run of a workflow or process — from the triggering event to the final step. Reducing cycle time is one of the primary indicators of automation impact.
A step or handoff within a workflow where work consistently slows down, queues up, or waits on a resource. Fluency surfaces bottlenecks in Work Explorer as part of its execution metrics so you can target them for improvement.
Work that is repeated or corrected because it was completed incorrectly or incompletely the first time. Fluency tracks rework loops within workflows as a signal for inefficiency and a key input to opportunity scoring.
